What this policy covers
This policy explains how we handle your personal data. It covers any time you use this site to ask for a quote. We run a quote-matching service. The data controller is Air Conditioning Services South West.
We are not an installer. We do not fit, service or repair any system ourselves. Instead, we pass your enquiry to an independent local installer. They then contact you with a price.
This page sets out what we collect and why. It covers the legal detail UK law needs. Specifically, it also explains who sees your data and what rights you have. Those rights come from the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
We connect enquirers with installers rather than trading ourselves. As a result, most of the data we hold relates to one enquiry. We do not hold payment details. We never ask for them on this site.
What data we collect
When you send an enquiry, we collect what you type into the form. This is your name, phone number, postcode and the service you need. You can also add your email, your address and a short note on the work.
We do not ask for financial details. We have no need for them. The enquiry record also stores the IP address and browser details sent with the form.
We also collect some technical data when you visit the site. This includes your browser type, a rough location from your IP address, and the pages you viewed. It helps us see how the site is used and keeps it safe. Still, we do not link it to your enquiry to build a marketing profile.
Why we process your data
Our legal basis for using enquiry details is simple. We need this data to give you the service you asked for. That service is matching you with a local installer who can quote for the work.
For technical and analytics data, our basis is legitimate interest. We weigh that against your right to privacy. We still keep that data to the minimum the site needs.
We do not use your data for automated decisions. However, we never sell personal data to other firms for their own marketing.
Who we share your data with
Sharing your enquiry is at the centre of how this service works. It is what connects you to an installer. When you send a form, we pass your details to one pre-qualified local installer. They cover your area and the work you asked about.
They then contact you directly about a quote. You are never charged for using this site.
We also use other firms to host the site, run the contact form, and support basic analytics. Each one must follow its own data protection duties.
Similarly, each may use your data only to give us that service. Beyond installers and these firms, we do not share your data with anyone else. We never sell it to data brokers or other marketing firms.
How long we keep your data
We keep enquiry data for as long as we reasonably need it. That means as long as it takes to do what you asked, plus any follow-up questions about that enquiry. After that, we delete it or make it anonymous.
Meanwhile, we keep technical and analytics data for a shorter time. It only needs to help us spot and check security issues before we group it up or drop it.
Your rights
Under UK GDPR, you can ask what personal data we hold about you. You can ask us to fix wrong data. You can ask us to delete data when there is no reason left to keep it.
You can also object to, or limit, some kinds of use. Where it is technically possible, you have a right to data portability too.
To use any of these rights, use the contact form and tell us what you need. We do not publish a separate privacy mailbox. Every message sent through the site reaches us directly.
If you are not happy with how we handled your data, you can complain to the regulator. That is the Information Commissioner’s Office (ICO), the UK’s independent body for data protection. You can reach the ICO at ico.org.uk or by calling their helpline.
We would still ask you to raise it with us first, since we can fix most issues directly. Still, the choice to go to the ICO is always yours.
Cookies and similar technologies
This site does not set advertising cookies or analytics cookies. We use Google Analytics 4 to see how visitors use the site. However, analytics storage is switched off, so no analytics cookies are stored on your device.
Google Analytics still receives basic measurement signals without cookies, for example that a page was viewed. Before any page address is sent, we remove the postcode and job type you typed into the enquiry form. The contact form itself does not set cookies.
If we ever add a cookie that needs your consent, we will ask for it first. You can also clear or block cookies at any time through your browser settings.
Changes to this policy
We may update this policy from time to time. For example, we might change it if the way we collect or share data changes. We might also change it if data protection law itself changes.
The version on this page is always the current one. We do not have to tell you about small updates one by one. If a change is significant, we will make that clear on this page.
